Purpose of data

Personal information is collected by Visa Support Services for a number of purposes. These are explained below.

1. Sending of newsletters & press releases

Visa Support Services sends out newsletters and press releases via e-mail. These newsletters and press releases are on the one hand commercial and on the other hand focused on knowledge sharing. Your first name and e-mail address will be collected via the appropriate form on theVisa Support Services website. In addition, you can be asked verbally or textually to sign up.

2. Contact us

Your data will be collected when you contact Visa Support Services via the website. However, in this you will only be asked for the necessary information enabling to offer a proposal or a service, such as your name, company name, e-mail address, telephone number and project description.

3. Analytics

The website of Visa Support Services collects your data to improve the website. This is done with Google Analytics. This information is anonymous and is therefore not bound to your personal data. Think of information such as the duration of your website visit or the pages you visit a lot.

The data received and processed by Visa Support Services will be managed through:

1. Mailchimp

The newsletters and press releases will be send through Mailchimp. The moment you sign up for the newsletter or for receiving press releases, your e-mail address and first name will automatically be saved in the appropriate list within Mailchimp.

2. Hosting

The e-mail of Visa Support Services is hosted by ONE.com When you contact us via the forms or via e-mail, those e-mails will be stored on the servers of ONE.com.

3. Backups

The website and back-ups of the website are host by ONE.com. Data that you leave on the website of Visa Support Services are stored on the servers of ONE.com.

Storage period

Your data will be stored by Visa Support Services for a longer period of time, but never longer than is necessary for carrying out activities, unless we have to keep your data for longer because of a statutory regulation.

1. Sending newsletters and press releases

Your e-mail address and first name are stored in Mailchimp. The storage of your data is for an indefinite period of time. You can unsubscribe whenever you want via the link at the bottom of the newsletters or by sending an email to info@visasupport.be

2. Getting in touch

The moment you contact Visa Support Services via email, the data you send, such as your name, company name, and e-mail address, will be stored on the mail server. Those e-mails will be saved up to a maximum of two years.

3. Analytics

The data that Analytics collects on the website is anonymous, so it is not linked to your name, company or e-mail address. This data is stored indefinitely within Google Analytics.

4. Security

No physical copies of your personal data will be made. Your data is only managed in the aforementioned systems and software.
The personal data that is managed by Visa Support Services or by the aforementioned third parties can only be accessed via top-level software and protected by a password and where possible with two-step verification.
With this two-step verification, a code is generated from the software and sent to Visa Support Services. This code must be used during the login process.

The devices that open your data are each also locked with a password. The number of devices that have access to your data is limited to only the necessary devices.
In addition, your visit to our website is secured by an SSL certificate. This means that your connection to the Visa Support Services website is private. You can recognize this protection by the green lock for the url.

7. Right to stop data use (objection)

The use of these rights can be done via info@visasupport.be by sending a copy of the ID-proof whereby the passport photo, the numbers at the bottom of the passport, ID-proof number and BSN are made illegible. The aim is to respond within a week.

Responsibilities

Visa Support Services processes personal data on the basis of a legitimate interest, namely a commercial interest. Think of offering services or products from clients of Visa Support Services via e-mail.
The data that is mandatory to deliver is the minimum required data for the provision of the services or products. For example, your e-mail address is required to be able to send the newsletters and press releases. If this mandatory information is not supplied, Visa Support Services can not offer the relevant service.
If it is necessary to share information that you have shared with Visa Support Services with others than the parties mentioned above (for example, to offer a service), your permission will first be requested.

Visa Support Services reserves the right to disclose the information when this is required by law or if Visa Support Services deems this justified to comply with a legal request / process or to protect the rights, property or safety of Visa Support Services.
